Pedal-Powered Party Policies: Your Guide to an Unforgettable Buzz Bikes Experience

Policy Enforcement

To ensure every pedal-powered party is a success, our dedicated Party Bike Captain is in charge at all times. They are responsible for enforcing the following policies, designed for your safety and enjoyment. We also encourage the person who booked the tour to assist the captain in hosting the group, fostering a fun and secure environment for everyone.

Reservation Policy

Once you’ve booked your Buzz Bikes adventure, you’ll immediately receive a confirmation email detailing your order. Please take a moment to double-check your email address accuracy before finalizing your booking to ensure smooth communication.

Confirmation emails marked as Confirmed mean your reservation is secured, and no further action is needed from your side. Get ready to pedal and party!

Emails marked as Pending indicate that your reservation requires either payment confirmation or hasn’t yet reached the minimum rider count for confirmation. It’s important to understand that pending reservations are NOT confirmed until you receive a subsequent email explicitly stating your confirmed status. Smaller groups or individual bookings might be adjusted to another time slot if a private party booking is confirmed for the same time, but we will always notify you promptly if such a situation arises. In these cases, you’ll have the choice to reschedule or receive a full refund.

For smaller groups eager to experience our buzz bikes, we highly recommend being flexible with your preferred time. Often, we can successfully combine smaller groups at an alternative time, ensuring everyone gets to enjoy the party!

On Hold emails mean you’ve joined a waiting list for a currently unavailable time slot. All customers with pending and on hold bookings will receive an update on their confirmation status at least 24 hours before the scheduled start time.

If you don’t receive a confirmation email within a few hours of booking, please call us to verify your email address and confirm your reservation details. We want to make sure you’re all set for your buzz bikes adventure!

Arrival Time

To ensure a punctual and smooth start to your buzz bikes party, please arrive 20 minutes prior to your scheduled start time. This allows ample time for check-in, getting everyone comfortably loaded onto the bike, and a quick run-through of the essential safety guidelines before we hit the road.

PRIOR WAIVER COMPLETION IS MANDATORY. PLEASE ENSURE ALL PARTICIPANTS HAVE COMPLETED THEIR WAIVERS IN ADVANCE; OTHERWISE, YOUR BUZZ BIKES START TIME MAY BE DELAYED. You can easily share the waiver link with your group to expedite this process.

Reservations are strictly for the time slot you have booked. As we operate on a back-to-back schedule to keep the buzz bikes rolling, private parties that start late will still conclude at their originally scheduled end time. Please be on time to maximize your party bike experience!

For pub crawl tours, both the start and end times are fixed as specified in your booking. We cannot accommodate latecomers as it disrupts the schedule for those who arrived on time, and unfortunately, ticket prices for late arrivals cannot be refunded. However, if you are running late, we will do our best to arrange for you to meet the group at the first bar stop. Please contact us as soon as possible if you anticipate being late.

Payments

Credit card fraud will not be tolerated. Any fraudulent activity, including all associated communications, electronic records, and video evidence, will be reported to law enforcement immediately. For verification purposes, the credit card used for booking and a valid photo ID must be presented at check-in unless prior authorization has been granted by management.

For private group buzz bikes parties, a 50% down payment is required at the time of reservation to secure your booking. The remaining balance will be automatically charged to the credit card on file 14 days prior to your booked date.

Reservations requiring three or more buzz bikes necessitate a 50% non-refundable down payment for each bike to hold your reservation. Please note that this deposit is non-refundable under any circumstances if bikes are cancelled. Full payment for these multi-bike bookings is due 14 days in advance and is also non-refundable.

Individual seat reservations on our buzz bikes require full payment at the time of booking.

For detailed information regarding refunds, cancellations, and rescheduling, please carefully review our dedicated cancellations and refunds policy outlined below, which you agree to upon making a reservation with us.

Cancellations & Refunds

Life happens, and we understand plans can change. You may cancel your buzz bikes reservation and receive a full refund if you notify us by phone or email at least 14 days prior to your scheduled reservation date. Similarly, you may reschedule your reservation date, subject to availability, if you contact us at least 14 days before your original booking.

Please be aware that we are unable to process cancellations or reschedules within 14 days of your reservation date. Any payments made will be forfeited if a cancellation occurs within this 14-day window.

If you choose to reschedule your buzz bikes experience, please note that bookings cannot be rescheduled or cancelled a second time. These rescheduled bookings will still be charged the full amount. We strongly encourage you to cancel or reschedule well in advance if you anticipate any changes to your plans.

For reservations involving three or more buzz bikes, a 50% non-refundable deposit is required for each bike. This deposit is non-refundable at any point if bikes are cancelled. Full payment is due 14 days in advance and is also non-refundable for these larger bookings.

Alcohol Policy

Get ready to BYOB! The Dallas Party Bike operates like a party bus service – you are welcome to bring your own beer, wine, and seltzers on board to enhance your buzz bikes experience! To ensure a fun, safe, and legally compliant environment for everyone, we have established the following alcohol policies that all groups must adhere to:

  • Acceptable alcoholic beverages are limited to beer and wine. Seltzers, hard lemonades, canned cocktails (like High Noons), and malt beverages are also permitted.
  • For safety reasons, glass containers and hard liquor are strictly prohibited on board. We recommend cans for beer and either boxed wine or wine in plastic containers.
  • All alcoholic beverages are BYOB (Bring Your Own Beverage). We are legally unable to provide or sell alcohol.
  • It is imperative that you do not step off the buzz bikes with an open container of alcohol. Doing so constitutes a violation of public consumption laws and may result in citations. All alcoholic beverages must remain on the vehicle at all times.

Our primary goal is to provide you with an amazing and memorable time on our buzz bikes, but your safety is our absolute #1 priority! To ensure a safe and enjoyable experience for all, DO NOT arrive for your party already intoxicated. Service may be refused to intoxicated individuals without refund. We want everyone to enjoy the ride responsibly!

Participant Waiver

To ensure a smooth check-in process and participant safety, all riders are required to present a valid photo ID at the time of reservation and sign a rider waiver before embarking on their buzz bikes adventure. If you have booked a private group reservation, you can conveniently send the “pre-arrival waiver” link to your entire party, allowing them to complete the necessary waivers in advance. This waiver link was included in a separate email sent to you after you made your Dallas Party Bike reservation. Completing waivers beforehand significantly speeds up the check-in process.

NOTE: To maintain our schedule and ensure everyone maximizes their buzz bikes time, please arrive 20 minutes prior to your scheduled start time. This allows us to have everything prepared and ready to go right when your party is set to begin.

Weather Policy

Our buzz bikes are ready to roll rain or shine! However, for the safety of our riders and staff, we will cancel tours in the event of lightning or other severe weather conditions that pose a risk. Rest assured, we won’t have you pedaling through a downpour! If we are compelled to cancel a tour due to severe weather, you will receive a 100% refund or a rain check to reschedule for another date – your choice!

Weather-related cancellations are typically made very close to your tour’s scheduled start time, as weather conditions can be notoriously unpredictable. We appreciate your understanding and flexibility regarding weather-dependent operations.

Inappropriate Behavior Termination Policy

To maintain a positive and safe atmosphere for all participants, inappropriate behavior by any individual in your party will result in the immediate termination of the buzz bikes party for the entire group. Our party bike captain has the sole discretion to terminate a party due to misbehavior. Groups whose party is terminated for any reason will not be eligible for a refund and will also incur a $100 early termination penalty fee. We trust everyone will behave responsibly and respectfully.

Inappropriate behaviors that may lead to party termination include, but are not limited to:

  • Engaging in physically or verbally abusive or disrespectful conduct towards your party captain. Our captains are there to ensure your safety and enjoyment and deserve respect.
  • Exhibiting excessive intoxication. As mentioned earlier, please do not arrive already intoxicated, as service may be denied without refund.
  • Becoming excessively intoxicated during the tour. It’s important to pace yourselves and drink responsibly throughout your buzz bikes experience. Overly intoxicated individuals will be removed from the tour for the safety of all.
  • Removing open containers of alcohol from the bike onto the street. This is a violation of public alcohol consumption laws.
  • Taking alcohol off-premises from bar stops. Alcohol purchased at bar stops must be consumed at the bar or on the buzz bikes.
  • Providing alcohol to anyone under the age of 21 or on public streets. This is illegal and strictly prohibited.
  • Bringing glass containers or hard liquor on board the buzz bikes, which violates local ordinances and our safety policies.
  • Jumping off the vehicle while it is in motion or in traffic. This is extremely dangerous and strictly forbidden.
  • Using vulgar, offensive, or abusive language towards pedestrians, police officers, or other drivers. Please be respectful of those around you.
  • Standing or hanging on the bike while it is in motion. For your safety, you must remain seated with your seat belt securely fastened whenever the buzz bikes are moving.
  • Any other behavior deemed inappropriate or in violation of local, state, and federal laws. Common sense and responsible conduct are expected at all times.

Remember—Your party bike captain is the designated authority during your tour and must be treated with respect at all times! Our goal is for you to have an amazing time on our buzz bikes, but please exercise common sense, adhere to all rules, and help us maintain a safe and enjoyable environment for everyone!

Zero Tolerance Policy For Drivers

Dallas Party Bike maintains a strict zero-tolerance policy regarding the consumption of intoxicating substances by our drivers. The safety of our passengers is paramount. If you suspect that your driver may be under the influence of alcohol or drugs, please immediately utilize our Contact Page or the form provided to report your concerns. When submitting a report, please include the name of the driver you suspect, the date and time of your booking, a detailed description of the circumstances that led to your suspicion, and any other pertinent information you believe is relevant. Complaints can also be submitted directly and immediately by calling 3-1-1. Any driver suspected of intoxication will be immediately suspended pending a thorough investigation and will be terminated if found to be in violation of this policy.
